Email sending policy
FunnelsGrove email is for relevant messages that recipients expect to receive. Every account is responsible for permission, recipient privacy, message quality, and the reputation of its sending domains.
Permission and recipient lists
- Send marketing email only to people who knowingly opted in to hear from you.
- Send transactional messages only when they relate directly to the recipient's account, purchase, security, or another interaction they requested.
- Keep a record of where, when, and how each recipient gave permission.
- Never use purchased, rented, scraped, guessed, or third-party mailing lists.
- Reconfirm permission before importing an old or inactive audience.
- Remove invalid, bounced, complained, and unsubscribed addresses promptly.
- Never re-add suppressed recipients without a new, provable opt-in.
Message and sender requirements
- Use a verified domain that your business owns or is authorized to use.
- Configure domain authentication, including DKIM, SPF, and DMARC.
- Clearly identify the sender and use accurate subject lines and reply addresses.
- Include a visible unsubscribe link in every marketing or lifecycle message.
- Honor unsubscribe requests immediately; do not require login or extra steps.
- Send useful, relevant content at a frequency recipients would reasonably expect.
- Increase sending volume gradually and monitor delivery before expanding a list.
- Protect private API tokens and use them only from trusted server-side systems.
Prohibited email
Do not send:
- unsolicited bulk email, spam, or campaigns without documented consent;
- phishing, credential harvesting, malware, harmful attachments, or deceptive links;
- impersonation, misleading sender details, or deceptive subject lines;
- illegal content, fraudulent offers, scams, or prohibited regulated content;
- messages that conceal or obstruct the unsubscribe process;
- email intended to evade suppression, rate limits, account restrictions, or review.
Monitoring and enforcement
FunnelsGrove monitors delivery volume, hard bounces, spam complaints, unsubscribes, and unusual sending patterns. Hard-bounced and complained recipients are automatically suppressed, and unsubscribing stops the affected marketing sequence.
Keep hard bounces below 5% and spam complaints below 0.1%. Accounts exceeding these limits may be paused automatically. New sending domains are warmed up gradually, and lifecycle sequences require a valid DMARC policy before they can be enabled.
We may throttle, pause, suspend, or permanently ban an account when it:
- uses purchased or scraped recipient data;
- sends unsolicited, deceptive, illegal, or harmful messages;
- ignores unsubscribes, suppressions, or consent requirements;
- generates excessive bounces, complaints, or suspicious sending spikes;
- compromises sending infrastructure, private credentials, or another account;
- repeatedly violates this policy or refuses to correct identified issues.
If sending is restricted, review your list sources, remove invalid recipients, correct message content, and contact support before resuming campaigns.
